Why form builders (Jotform, Typeform) don't replace a safety reporting system

For quality and patient safety teams running reporting on general-purpose tools

Jotform and Typeform build excellent forms, but safety reporting needs what happens after the form: routing, review, follow-up and feedback. This page covers the gaps between tools, which plans offer a HIPAA business associate agreement, and what a single reporting workflow changes.

Key takeaways

  • Jotform offers HIPAA features and a BAA on its Gold and Enterprise plans.
  • Typeform provides a BAA for Enterprise plan customers.
  • Every tool that receives the data after the form needs its own HIPAA coverage.
  • Each handoff between tools is a place where reports can stall.

Where form builders fit

Jotform and Typeform are polished form tools that are easy to configure and produce well-structured data. For surveys, registrations and intake, they serve their purpose well.

The limitation for safety reporting is that a form builder stops at the form. After a submission, other tools usually do the rest: a spreadsheet to store reports, email or chat to notify reviewers, something to track review status, a way to find patterns, a place to manage the resulting improvement work, and a manual step to tell the reporter what happened.

Every handoff between tools is a place where reports can stall, and every manual step depends on a busy person following through.

HIPAA terms depend on the plan. Jotform offers HIPAA compliance features on its Gold and Enterprise plans, and covered entities that enable them receive a signed BAA. Typeform says it provides a BAA for customers on its Enterprise plan. Either way, the BAA covers the form provider; any spreadsheet, email or chat tool that receives the data needs its own coverage.

Questions to ask in any evaluation

Put the same questions to every option, including us, and get the answers in writing.

  • Which plan are we on, and have we signed the provider's BAA?
  • Where does each submission go next, and does every tool in that chain have HIPAA coverage?
  • Who routes and tracks each report, and how do reporters hear back?
  • Where are improvement projects tracked, and are they linked to the reports?

ImprovementFlow

Safety Reporting

Safety Reporting covers the steps after the form, including routing, review with a named owner, patterns across events and feedback to reporters, in one place.

How ImprovementFlow compares

ImprovementFlow is the whole workflow, not just the form: report, routing, review with a named owner, patterns across events, linked improvement projects and feedback to the reporter, in one place.

Reports use your own event categories and severity levels, so they arrive structured. Routing by event type, department and severity sends each one to the team that reviews it.

Every safety event keeps an audit trail, and HIPAA compliance, a BAA and SSO are included in every package, covering the workflow from report to resolution.

Bringing your records across

If you've been collecting responses in Jotform or Typeform, export them as CSV and bring your question list. We'll map your categories with you and import your past submissions, so your history comes with you.

What ImprovementFlow includes

  • Report, route, review, improve and reply in one place
  • Routing by event type, department and severity to the team that reviews it
  • An owner, status, severity and tags on every event, with feedback to named reporters
  • Linked A3 improvement projects when a pattern needs real work
  • Reporting from a phone, tablet, desktop, kiosk or QR code on the unit, as a named person, a team or anonymously
  • HIPAA compliance, a BAA and SSO included in every package

Frequently asked questions

How is ImprovementFlow priced?
Pricing is by program bundle, not per user, and HIPAA compliance, a BAA and SAML/SSO are included in every package. We don't publish prices on comparison pages. See the /pilot page for details.
How does moving from Jotform and Typeform work?
We start from the event categories, severity levels and review structure you already use, and set up categories and routing rules with you. Implementation support and training are included in every package. In a 90-day pilot, setup takes the first two weeks and staff start reporting on real data in week 3. We import your past records from your current system, spreadsheets or paper archives, so your trend history comes with you. After setup, your team changes event types, forms, categories and routing itself, without IT.
Can we pilot ImprovementFlow before fully switching from Jotform and Typeform?
Yes. The 90-day pilot runs ImprovementFlow on a single program at a defined scope, with success criteria agreed at kickoff. See the /pilot page for details.
