ImprovementFlow · Improvement Work
When staff tell you what's wearing them down, get the right teams fixing it
Infrastructure for well-being programs that process submissions from across the organization. Connect each concern with the shared services and multidisciplinary teams who can change the systems behind it — from administrative burden to EHR workflows.

Sound familiar?
What we hear from well-being program leads using standard approaches
Common frustrations with the usual tools and workarounds — the gaps ImprovementFlow is built to close.
We receive hundreds of submissions. Most of the fixes belong to teams I don't manage.
One EHR change needs nursing, informatics, IT and compliance — and nobody owns the follow-up.
Staff stopped submitting because they never heard back.
How it works
From a submission to a lasting change
A structured path for every concern, with clear ownership at each step.
- 1
Collect submissions organization-wide
Staff submit as themselves, as a team or anonymously — from any browser or a printed QR code.
- 2
Review and group the themes
Spot what keeps coming up — inbox burden, documentation clicks, scheduling friction — instead of handling each item alone.
- 3
Connect the owning teams
Assign reviewers, an owner and the teams involved, so each concern reaches the shared services group that can change the underlying system.
- 4
Run a multidisciplinary intervention
Turn a submission into a linked improvement project with actions, owners and follow-up across disciplines and sites.
- 5
Measure and report back
Track progress against measures and send feedback to the person who raised the concern — unless they chose to stay anonymous.

In practice
How three submissions become one intervention
Individual concerns rarely have individual fixes. Grouping them shows which shared services need to work together.
Submissions
- “I spend my lunch break clearing the inbox.”
- “Discharge needs the same note in three places.”
- “Night shift can't reach scheduling to swap.”
Theme: documentation and inbox burden
Routed to:
- EHR & Informatics
- Nursing practice
- Physician leadership
- Compliance
Intervention
Reduce duplicate discharge documentation
Informatics lead + nursing practice council
- Map the current discharge workflow
- Remove duplicate fields
- Pilot on two units
Measure: Documentation time per discharge
Illustrative example. Your program decides its own themes, groups and measures.
Who it's for
Something useful for everyone involved
- Well-being program leads
- One place to see every submission, theme and intervention — and who owns what.

- Clear, grouped requests with context, rather than scattered emails and survey comments.
- Frontline staff and physicians
- Evidence that their submissions led somewhere, which keeps them engaged.
- Executives
- A view of which system changes are underway and how they are progressing.

Getting started
Your first 90 days
Start with the submissions you already receive and one or two shared services partners.
Weeks 1–2
Bring in current submissions and agree the first themes with your well-being committee.
Weeks 3–6
Route one theme to its shared services partners and launch a focused intervention.
Weeks 7–12
Review the measures, report back to staff and choose the next themes to take on.
Frequently asked questions
- How is this different from well-being reporting and assessments?
- Reporting and assessments capture what people are experiencing. Interventions provide the infrastructure to turn those submissions into coordinated work across shared services, disciplines, sites and service lines. Many organizations use both on the same platform.
- Can staff submit anonymously?
- Yes. Staff can submit as themselves, as a team or anonymously. Feedback messages go to named submitters; anonymous submitters see what happens next when they submit.
- Which shared services groups can be involved?
- Whichever groups own the systems behind a concern — for example IT and EHR informatics, HR, scheduling, facilities, pharmacy or revenue cycle. You define the groups and how work reaches them.
- Can interventions connect to our other improvement work?
- Yes. ImprovementFlow brings well-being reporting, improvement projects, strategic initiatives and recurring programs together, so an intervention can sit alongside related work rather than in a separate tool.
- What about security?
- HIPAA compliance, a BAA and SSO are included in every package.
