Policy rollout communication template
A reusable, editable starting point for an approved staff policy update.
Download the editable template (.txt)Prepare the rollout
Identify the approved policy owner, version, effective date, audience, and response deadline. Confirm the assigned people have access and nominate a contact for questions. Replace every bracketed field in the download before use. The template is a communication aid; your organization must approve the policy and decide the appropriate response wording.
Explain what changed
Use a short title and a plain-language summary. State what staff should do differently, when the change takes effect, and where they can get clarification. For the initial CommStreams text workflow, include the approved text people need to review directly in the publication. Do not rely on an inaccessible external attachment as the only source of the policy.
Use a sample follow-up calendar
Day 0: publish the approved version to the checked audience. Day 3: review outstanding assignments and access problems. Day 7: make a final review against your chosen deadline and record exceptions outside the initial product if needed. These are sample dates to adapt, not a built-in schedule or a compliance deadline. Follow-up is currently manual.
Close the rollout
Review the displayed completion records, record approved receipt references in your operating record, reconcile exceptions with the policy owner, and note what to improve next time. If the approved content changes, create a new publication with a clear version note. Preserve the original communication and responses rather than rewriting the historical record.
Measure the pilot
Capture preparation minutes, follow-up minutes, outstanding assignments at the agreed deadline, access support requests, and unresolved questions. Compare these with your current process for a similar audience. A high acknowledgment rate alone does not establish comprehension or a safety outcome.
